What is the problem?
Some of the proposals suggested by the system to perform the bank reconciliation more quickly are no longer present or have been discarded.
How to understand it
Within the bank reconciliation section in Holded, you can find two prominent buttons: Update matches and Review suggestions. These buttons impact the way Holded generates and displays bank reconciliation suggestions.
On the one hand, the Update matches button launches the algorithm that looks for associations between transactions in the bank statement and documents created on the platform. On the other hand, by clicking on Review suggestions, all potential connections between transactions and documents can be displayed, which dramatically speeds up the reconciliation process.
Why is this important to keep in mind?
The Holded algorithm in charge of generating these suggestions does not work continuously. Therefore, when it is activated again by clicking on Update matches, the system can detect whether there are new matches or if any of them have disappeared.
On the other hand, if there have been changes in the documents suggested for reconciliation and the suggestions have not been updated, some of the previously proposed matches may no longer be valid. In this case, Holded will display a warning message.
Remember that when we talk about documents we are referring to: Sales receipts, Purchase receipts, Sales invoices, Purchase invoices, Purchase refunds, and Payrolls.
When is a suggestion no longer valid?
These are the three scenarios in which a previous suggestion is no longer considered valid:
The proposed document no longer exists
If for some reason, the document proposed in the suggestion is deleted before performing the match, such suggestion is no longer valid.
When Holded detects that the document that had been taken into consideration by the suggestion generator no longer exists, it discards any previously generated suggestions.
The proposed document is already reconciled
The document that had been proposed as a candidate for reconciliation may have already been fully reconciled (100%). In this case, the system would also discard any previous suggestions related to that document.
The amount in the proposed document no longer matches
If you have changed the amount or value of the document proposed by Holded in the suggestions for bank reconciliation, such suggestions will also be discarded.
This is most likely to occur in cases where a document has been partially reconciled, as the amount to be reconciled is changed.
How to solve it
To stop these warning messages from appearing, simply click on Update matches so that the system can detect new matches and stop displaying suggestions that are no longer valid.
