How to get there
- Go to the Control Menu, in the top right corner
- Select Import
- Enter the Inventory category
- Select Shipments.
Alternative method: Navigation bar > Inventory > Waybills > Three-dot menu (⋮) > Import
Import waybills
In Holded you can import your delivery notes, both current and from previous dates.
1. Download the import template
- In the pop-up window, click Download a sample of the XSLX file
- Open the downloaded document to see the format and be able to work on it
2. Complete the template
Fill in the fields indicated below. Those that are mandatory have been marked with an asterisk (*):
You will notice that not all the fields in the template are required. However, we recommend that you report as many as you can so that the information in Holded is as detailed as possible.
If you have left any field blank when importing, you can always report it later from the platform.

SKU* | With this field, you can relate the orders with products that are already registered on the platform |
Unit price* | Enter the price per product, not including taxes |
Units* | Add the number of units for Holded to perform the calculation |
Discount % | Add the discount for each product per line |
IVA %* | Add the VAT % for the corresponding accounting adjustment. You must include the key of the tax that you will find in Settings > Invoicing > Taxes. Example: If you need to include a 21% VAT, you must indicate the following key: p_iva_21 |
Retention % | In the event that the order contains an additional retention. You must include the key of the type of retention that you will find in Settings> Invoicing > Taxes |

Payment Method (ID) |
You must include the API KEY of the payment method. First generate the Key from Settings > Developers > + New API Key. To finish, go to Settings > Billing > Payment Methods and click on the corresponding payment method. In the pop-up window copy the API code that you will find at the bottom next to the plug symbol. ![]() |
Tags separated by - | Labels or tags used to organize your documents. Use a hyphen (-) to separate them |
Sales channel name | Personalized name where your orders from the same accounting account will be grouped |
Channel account | Add the sales account to keep a correct accounting. You can find the numbering corresponding to the sales account from Settings > Invoicing > Preferences > Sales and Expenses |

Once you have completed the template fields, save the spreadsheet in excel or csv format to be able to import the information correctly.
To ensure that the import works correctly, remember not to leave empty cells between the order numbers. Also, do not merge cells in the spreadsheet.
3. Upload the template information to Holded
- From Waybills, go back to the three-dot menu (⋮)
- Click Import
- Click the Upload file button
- Select the spreadsheet or template that you have previously saved
- Confirm the action
Export waybills
The selected filters and dates will be saved in the download file
- Go to Inventory
- Select Waybills
- Click the Export icon at the top of the list
- Choose whether to export the orders in Excel, PDF, or by items
The export items option allows you to export orders broken down by product
