What will you achieve with this guide?
This getting started guide is divided into 2 parts that will help you prepare everything you need to manage each of the negotiation phases of your sales cycle, from the first contact with a prospect to the closing of a contract. No prior configuration is required, therefore:
You will learn how to create a sales funnel with its stages and characteristics
You will test the creation and management of your sales opportunities
1. Create and manage a sales funnel
1. Activate the Gem
How?
- Click on the Control Menu at the top right of your screen
- Select Holded Store
- From the Gems tab, go to CRM
- Select Sales funnel
- Click on Activate
2. Create your first sales funnel
By default, the system provides you with an already created funnel, usually named Embudo 1. You can edit this funnel or create a new one, depending on your needs.
How?
- Go to Sales and select Sales funnel
- Open the drop-down menu at the top right of your screen
- Click on + New funnel
- Name your funnel

3. Define the privacy
Once you have named your funnel, you will have to establish who has the permission to manage it among all the people with access to the CRM: if only a specific sales team, user or if you do not want to set any access limits.
How?
- In the creation modal, open the drop-down menu, right next to the name
- Select between Public or Private, depending on the level of privacy you need.
By choosing Private, only the selected users and sales team members will have access to the funnel and its opportunities. Learn here how to assign a sales team to a funnel.
4. Set the stages
How?
- In the creation mode, write the name that characterizes each stage
- Add a brief description
- Set the percentage of the probability of profit you plan to obtain for each stage
- Define the limit of the number of days after which an opportunity is considered stagnant
- Add a new stage, if needed, by clicking on the + New stage button in the right bar of your screen
5. Add Custom fields
How?
- In the funnel creation modal, open the three-dot menu (⋮), on the top right of your screen
- Click on Settings
- In the pop-up modal, click on + Add field.
- Name the custom field
- Click Save
6. Create the lost reasons
How?
- In the funnel creation modal, open the three-dot menu (⋮), on the top right of your screen
- Click on Settings
- In the pop-up modal, click on + Add New, just below Lost reasons
- Name the reason
- Click Save
2. Create and manage your funnel deals
1. Create a deal
Creating a deal allows you to track in detail everything that happens in the different phases of your sales, visualizing its real status and its economic opportunity.
How?
- Access to Sales funnel, from Sales
- Click on New deal
- Fill in the fields about your customer's company and contact person, the opportunity title, its economic value, define the stage of your funnel, select the person responsible for follow-up, the expected closing date and the probability of profit.
- Click on Save deal

2. Add a note
Once you have created your first deal, you can add one or more follow-up notes.
How?
- Access to Sales funnel, from Sales
- Select your deal
- From the view that opens on the side of your screen, click on Notes under the Create new section
- Name your note
- Write what is needed

3. Link an activity
You can add one or more activities, such as a call or meeting, to your deal, as well as view its history.
How?
- Access to Sales funnel, from Sales
- Select your deal
- From the view that opens on the side of your screen, click on Activity under the Create new section
- Fill in all the fields with the details of your activity
- Click on Create

4. Change the stage of your deal
Each deal can be moved between the different phases of your funnel, depending on the needs of the moment.
How?
- Access to Sales funnel, from Sales
- Select your deal
- Drag it from one stage to another

5. Delete the deal
Now that you understand how to create a deal, you can delete it.
How?
- Access to Sales funnel, from Sales
- Select your deal to open the view on the left side of the screen
- Open the three-dot menu (⋮) on the top right of your screen
- Select Delete
- Confirm the action
