- Access the " Sales" section of the top bar
- Click the "Deals" option from the dropdown
In this section you can create and manage your deals to track their status during the sales cycle.
1) Create a new Deal
- Access the " Sales" section of the top bar
- Click the "Deals" option from the dropdown
- Click the "+ New Deal" button
- Fill in the information and click "Save Deal"
- Company: Select a previously created company or create a new one to relate it to the Deal.
- Contact person: Select or create a new contact person to relate it to the Deal.
- Deal Value: Assign a monetary value to the Deal to calculate the income you will get if you win the Deal.
- Currency: Select the currency with which you will invoice the Deal in case of winning it.
- Pipeline Stage: Select the stage of the pipeline in which you want to initially assign this Deal, for example: Lead, Contact, Negotiation.
- Assigned to: Select a user to be responsible for this Deal or mark it as "Unassigned".
- Tags: Assign a tag or create a new one to filter your Deal in the "List" section .
- Expected closing date: Add the day you think the Deal will close for the analysis of the "Forecast" section .
- Chance Probability: Select if you want "Inherit the probability of the stage defined in the pipeline" or otherwise you want to add a "Custom Probability" that will not change when changing stages.
Probability by stage: From the "Pipelines" section you can add a% probability of closing depending on the stage you are in. This probability will be taken into account in the "Forecast" section.
2) Edit and manage an Deal
- Access the " Sales" section of the top bar
- Click the "Deals" option from the dropdown
- Click on a "Deal"
- In the right side drop-down click on the top ":" button
- Click "Edit"
By editing a deal you can modify the previously created fields . In addition, clicking on the Deal will open a dropdown in the right section where you can:
- Modify the status of the Deal: You can manually select the state to which you want to change the Deal.
- Get a summary: You can check the value of the deal , the value adjusted to the probability based on the state of the Deal, see the number of total and completed activities and the personalized fields of the Deal.
- Manage the contact: You can quickly access the contact and add notes, create documents or send emails. In addition to seeing a summary of your sales and expenses and checking all the Deals and activities related to the contact.
- Manage activities: You can check the activities assigned to this Deal and edit them directly from the sidebar.
Side Dropdown : From the side dropdown that will open when you click on a Deal, you can perform quick actions (create a note, document) or check the most relevant information of the Deal and contact.
3) Use the "Pipeline" view
- Access the " Sales" section of the top bar
- Click the "Deals" option from the dropdown
- Click the "Pipeline" button in the upper left section
The pipeline view will allow you to visually see what status each Deal is in and you can:
- Change the State of Deals: You can do it by "dragging" with the mouse each Deal from one state to another.
- Mark a Deal as Won: To do so, place yourself above a Deal and drag it to the lower section where a "Won" button will appear .
- Mark a Deal as Lost: To do so, place yourself above a Deal and drag it to the lower section where a "Lost" button will appear .
- Delete a Deal: To do this, place yourself on top of a Deal and drag it to the bottom section where a "Delete" button will appear .
- Change a Deal's Pipeline: To do this, hover over a Deal and drag it to the bottom section where a "Different Pipeline" button will appear and select the pipeline to which you want to transfer the Deal.
4) Use the "List" view
- Access the " Sales" section of the top bar
- Click the "Deals" option from the dropdown
- Click the "List" button in the upper left section
The "List" view will allow you to have a list with all the available fields of the Deals by Pipeline so that you can apply Filters or export it to Excel.
5) Use the "Forecast" view
- Access the " Sales" section of the top bar
- Click the "Deals" option from the dropdown
- Click the "Forecast" button in the upper left section
With the Forecast view you will have a vision by days, weeks, months or Quarters of the expected closing date for deals and the monetary value taking into account the phase in which the deal is.
- Date: In the upper section, select the type of period (Day, week, Month, Quarter) using the arrows, scroll through the different periods.
- Monetary Value: The value that will appear to you will be the calculation of the Total Value of the Deal by applying the% probability of achievement depending on the stage you are in or the% applied manually when creating the Deal.
Check the calculation: To see the% that is applied and the total value, scroll over the final value next to the "balance" symbol and the applied probability% will appear next to the Total amount.
Probability by stage: From the "Pipelines" section you can add a% probability of closing depending on the stage you are in.
6) Filter your Deals
- Access the " Sales" section of the top bar
- Click the "Deals" option from the dropdown
- Click the upper right button "Filters"
In any type of view you can filter your deals according to these criteria:
- Stages: Select which Stage you are on
- Value: Select if the deal should be of equal, greater or lesser value than what you specify.
- Status: Select based on "Won", "Lost", "In progress"
- Company: Select the company for which you want to filter the deals
- Created: Select the date the deal was created.
- Expected closing date: Select the closing date assigned to the deal
- Closing date: Select the actual closing date
- Search by word: Type the word and only the deals that contain that word will appear in the title of the visible fields.
Deleted Pipelines: In case you click on " Delete a pipeline" Holded will allow you to transfer the deals to other pipelines or eliminate the deals assigned to that pipeline en masse.
7) Eliminate a Deal
- Access the " Sales" section of the top bar
- Click the "Deals" option from the dropdown
- Click on an "Deal"
- In the right side drop-down click on the top ":" button
- Click "Edit"
- Scroll to the bottom of the window and click "Delete"
