The Time records feature allows you to measure the time that has been spent on a given project. In the same way, the cost of the recorded hours will be imputed as an expense in the Project.
Get there
- Go to Projects from the navigation bar
- Select Time records
Using time records
1. Record hours worked
The time records' dashboard is personal, so only you will be able to view the records you have entered.
- Choose the day of the calendar on which you want to record the hours
You can use the date selector at the top right to move forward or backward in the calendar.
- Click on the + symbol
- Select a previously created project to allocate your user's price/hour to that particular project. If you leave it blank, it will remain unassigned
- Specify to which task this project corresponds. If this field is not filled in, it will be unassigned
- Add a description
- Assign a category
This will take into account the cost/hour per invoicing category. Check out this article to learn more.
- Enter the time spent in one of the following ways:
- Manually: Click the From/To button, and determine the date and hours you want to record
- Automatically: Click the button with the circle to start the counter and click again to end it
You can click outside the box and the counter will continue to run. Check it in the top bar.
- Hit Save
2. Submit your hours for manager approval
Users with an administrator role in the project will also be able to approve hours
At any time you can submit your hours so that the project manager can approve them. The manager will receive an email notification and will accept/reject the recorded hours. To submit your time records:
- Click the Submit for approval button at the top
You must have previously assigned the records before you can submit them for manager approval.
- Check the pending and approved hours by clicking on the Pending Approval and Approved options in the upper left corner
Remember that only approved hours will appear in the summary of each project. Approved hours will be represented with a green dot, and rejected hours with a red dot. Once the hours have been approved by the manager, they can no longer be disapproved, as they are charged directly to the assigned project.
3. Check the hours charged to the project
Once you have indicated the hours spent, you can access the Summary section within the project and see how many hours have been recorded for a given project.
- Go to Projects from the navigation bar
- Click on Projects
- Select the project you want to view
- In the detailed view, go to the Summary tab
- View the Hours logged this month and Hours by user sections
