How to create an event, note or task from a lead
Event: You can use an event to record the activities that you have scheduled with a contact, to do this, you'll have to create this from within a lead.
Note: You can add information to a note to record all the relevant data for a specific contact that you want to remember. You can also add this information from a lead.
How to create your first event
When entering the lead you'll find a tab to add the event, you will then need to complete the following fields:
Event: Assign a name to the event, this name will appear in your list of activities so it's best if you add a name that is clear and easy to understand
Location: Add a location where the event will take place.
Date / Time / Duration: Assign a temporary parameter to the event to be able to organize better. You can enter the date, time and duration of the event. This information will be displayed to your participants
Type of event: Here you will need to identify which type of event this will be. Once you have chosen this, this information will also appear in the email notification to those that have been invited
Participants: The participants are those that will be attending the event, this could be from your company or from any other companies you have asked to join your account.
Please note: The participants must be Holded users, you can send them an email informing them of the event and they can also receive an alert nearer to the event by using the alert option.
Alert: You can add a message to an alert so that your participants will be notified of the event, you can choose to have the email reminder to be sent at the time of the event or before the event.
Once you have created an event, this will automatically be moved to the Calendar app (also available in Holded) at the time of its creation. From the CRM, you can see it in the section of activities or within the same opportunity.
When the event has finished you can mark this as completed from the lead and the status will automatically change in the Activities section.
How to create your first note
From the leads you'll also have the option to create a note by completing the following information:
Title: Assign a name to the note, it's best to add a title that you'll understand and be able to refer back to
Description: Include the content of the note in abbreviated form. Please note that only you will have access to view this note and you'll . be able to edit or delete this.
How to create your first task from the lead
In the lead section you'll also have the option to create tasks that you have pending for a contact.
Creating tasks will enable you to manage and keep track of all the tasks you need to do.
Note: Once you've finished a task, it is important that you click back to the lead from the leads tab and click on the circle that will appear to the right of the task. This will then change colour to grey and a tick will appear within the checkbox. The task name will have a strikethrough to show that this has been completed.
If you haven't marked your task as completed, this will still appear in your list and you may be slightly confused whether or not this tasks has been completed or not.
The task is a way for you to keep track of everything you need to do and you'll also be able to keep track of everything you have done.
