The CRM app will enable you to customise the stages of your sales so that you can easily see all the information you need to and you can organise this according to your preference.
Note: The stages of a sale can be modified depending on each company and the sector the company operates in. The modifications will be visible to all users of the organisation. These stages reflect the status of your leads.
Customising the stages and sales within the CRM
How to customise the stages of a sale from Holded
- Go to the CRM app from the top left hand side nav bar. Click on the funnel tab located in the left sidebar within the CRM app.
- Once you have clicked on the gear wheel, you'll find the following sections:
General: Change the name of the funnel where the leads will be located or mark the option to send an email to the contact when a lead has been created. You can also delete the funnel or duplicate the funnel keeping the stages, but not the leads the funnel contains.
Duplicate and Delete: with this option, you'll be able to duplicate a funnel . If you would like to delete a funnel, all you need to do is click on Delete. Please note that once you have deleted a funnel, you won't be able to recover this and any information such as leads assigned to this funnel will be deleted
Import leads: you'll be able to import leads from this option. To do this all you need to do is click on a funnel and download the import for the sheets you'd like to reduce
Stages: You can modify, delete or add stages to the funnel. From here you can also drag the stages, to change the order of them.
To add stages, you'll need to click on Invoicing Settings, You an also add your own stages. To do this all you need to do is click on Add stage
Labels: We will have the opportunity to include tags in all the leads that are created in the funnel, tags will enable you to locate a certain lead. These labels are added from within the lead and you can choose a color to differentiate them.
Custom fields: You can use the extra fields to incorporate relevant information. It is automatically added to all the leads in the funnel. At each stage of the funnel, the sum of the value of all the leads within the app is shown. If you have made any changed to a lead, this will be reflected automatically in the sales funnel.
Import Leads
If you have many leads and you would like to add them all in one go, all you need to do is download the import leads template. To get to this section, click on Leads > scroll down to the bottom and you'll find the heading Import leads. Click on the Import button. The import leads file will appear and you'll be able to see the below fields:
- Deal name
- Contact name
- ID num
- Lead value
- Potential 0-100
- Stage
- Closing date
- Phone
- Website
- Notes
- New/Won/Lost
- Custom fields
Once you have added all the relevant information, drag the updated file to the import button. You'll then be able to see this information. and this will be updated in your Holded Leads page. This is a great way to create new leads instantly and this feature will not only save you time, but you'll also be able to create new contacts directly from the import template.
Note: Once you add a new user in the contact name field, they will also be created in your contacts page, this is found in the Holded Invoicing tab under contacts and also in the CRM app under the Contacts section
Send emails when a new lead has been created
To send a new email when a new lead has been created, click on Leads (from the left hand side sidebar), Settings (gear wheel located on the top right hand side corner). Below the funnel name, you'll find an option that says send email when lead created- click this so that a blue tick appears, and enter the email you would like to send the notification to. The email address you enter here will receive the email to inform them that a new lead was created by [name of the person who created the lead]
