Import all your data from Excel files or directly from any other accounting software in just a few minutes! ✨
With Holded you can import your information in a very simple way so you can start working with the program quickly and efficiently. It's very important to follow the import structure outlined in this article, so your Holded account can be updated successfully.
Imports are made using Excel templates, with different fields. Not all fields are mandatory, but if you're not going to complete any of the fields, you can't delete or change it, it's better to leave the cells blank and only update or add the information you need.
1) Import your contacts
To start importing contacts into Holded, you'll first need to download the Contacts template. You can find this in two places, either in the Contacts tab and click on the drop down arrow then click on Import contacts. You'll also be able to find the import template in: settings, click on Import and scroll until you see the Contact section.
When you have the contact import template, fill in the columns that appear in the file.
It's important to fill in the contact ID field. This will be the most important field in this template, since all the information in Holded is linked with the ID. So if you already have an existing contact with the same ID number, Holded won't create a duplicate contact, as the ID number is what helps Holded identify whether the contact already exists.
2) Import your products
You can start importing products to your Holded account in the same way as you import contacts. To find the import template, click on Products from the invoicing app and then click on the drop down arrow and select the option Import products. You'll also find the import template available in the inventory app.
The most important field in the import template for products is the SKU (stock keeping unit). This will be the field that Holded will use as reference to be able to import the products correctly and, subsequently, be able to link them in a coherent way. It's a very important field if you work with E-Commerce portals (such as WooCommerce) like the ones we have integrated with Holded.
Add all the information in the products template and then click on the Select button to attach the completed file, and the products will then be imported into Holded.
3) Import your sales and purchase invoices
The next step will be to import all the sales and company invoices that you have so that the information can be transferred to the corresponding accounting year automatically.
After you have imported invoice documents, you can import other types of documents such as sales orders, waybills or quotes.
4) Import your accounting accounts
If in addition to the invoice documents that will create the automatic entries and the respective accounting accounts, if you want to import other accounting accounts that don't appear in the templates imported previously, you can do so by using the import template for the accounting accounts. The import template is available from the accounting module.
By having accounting accounts imported, the balances will be adjusted within each account automatically.
