Get there
- Access Contacts from the navigation bar
- Access the three-point menu (⋮)
- Click on Import contacts
Importing your contacts
1. Download the import template
- In the pop-up window, click Download a sample csv/excel file
- Open the downloaded document to see the format and be able to work on it
2. Complete the template
Fill in the fields indicated below. The required fields are marked with an asterisk (*):
Fiscal name* |
Registration name of the contact to be imported |
Trade name | Refers to the name by which the contact's business or company is known |
Contact person | This will be the contact included in the emails you send to that specific company. Keep in mind that you can only include one contact in this field. |
Contact NIF* | This is an essential field, as Holded will use this information to link the invoices. It is of the utmost importance that you enter the NIF as it appears in its official form. That is to say, respecting capital letters, spaces, etc. |

Phone | Contact's landline telephone number |
Mobile |
Contact's cell phone number |
Address | Contact address |
Town | Name of town |
Postal code | Contact zip code |
Province | Name of contact province |
Country | Contact's country name |
IBAN | It is necessary in case you want to make wire transfers |
SWIFT | Also called BIC. This is the contact's bank identification code. |
Mandate ref. | It will be included in the contact's file, and you will be able to use it for invoice remittance |
Notes | Include any comments or notes about the contact |
Tags separated by - | These are tags that will help you identify the contact's documents within Holded |
Sales channel account | Add the account according to the type of activity maintained with the contact. You can find the numbering corresponding to the sales account from Settings > Invoicing > Sales and Purchases. |
Sales channel name | Indicate the name of the sales account |
Expense account number | Specify this type of account if it is a supplier. You can find the numbering corresponding to the expense or purchase account from Settings > Invoicing > Sales and Purchases. |
Name of the expense account | Indicate the name of the expense account if it is a supplier |
Client/debtor account | If these fields are left blank, Holded will automatically fill them in when creating the first sales invoice with the contact. This field is not mandatory, but it is a good idea to specify it in the import. |
Supplier/creditor account | If these fields are left blank, Holded will automatically fill them in when creating the first purchase invoice with the contact. This field is not mandatory, but it is a good idea to specify it in the import. |
Contact type | Choose from Unspecified, Client, Supplier, Lead, Debtor, Creditor. This is not a mandatory field, but it is quite important to report it so that it is well reflected in the platform. |
Regime | In the column of the Excel document you will have to specify the regime with one of the following values: intra (intracommunity), general (general), impexp (import / export), nosujeto (not subject), exento (exempt), receq (equivalence surcharge). This information will be reflected in Operation in the Accounting section of the contact. |
Sales tax | It will be the default tax that appears on all your sales documents with this contact (e.g. VAT 21%). We recommend that you enter this tax by accessing Settings > Invoicing > Taxes in Holded and copy the code that appears in the Key column for this given tax (s_iva_21, s_iva_10, etc.). Likewise, remember that if you want to include both the tax and the withholding, you can add both in this column using a comma and without spaces. For example: s_iva_21,s_ret_19 |
Purchases tax | It will be the default tax that appears on all your purchase documents with the contact (e.g. VAT 10%). We recommend that you enter this tax by accessing Settings > Invoicing > Taxes in Holded and copy the code that appears in the Key column for this given tax (s_iva_21, s_iva_10, etc.). Likewise, remember that if you want to include both the tax and the withholding, you can add both in this column using a comma and without spaces. For example: s_iva_21,s_ret_19 |
Currency | Enter the currency reference code as it appears in the contact's Preferences |
Language | Type the exact name as it appears in the contact's Preferences |
Payment method |
You must include the API Key of the payment method. First generate the Key from Settings > Developers > + New API Key. Then, access Settings > Invoicing > Payment methods and click on the corresponding payment method. In the pop-up window, copy the API code you'll find next to the plug icon. ![]() |
Due days |
Default due period that will be entered when you create an invoice for that contact |
Rate |
Special prices assigned to the contact in question |
Discount |
The discount rate applied to this contact |
Custom fields |
These fields must be created in Holded beforehand. These are used to include customized information in each contact's record and will add additional columns to the Excel document. Learn more about these fields here. |
Once you have completed the template fields, save the spreadsheet in Excel or CSV format so that you can import the information correctly.
3. Upload the template information to Holded
- Access again the three-point menu (⋮)
- Click on Import contacts
- Click on Add file
- Select the spreadsheet or template that you have previously saved
- Check that the order of the columns and the data included are correct
- Click on Confirm to complete the import
